Running an online business doesn't mean everything has to depend on you.

The Mind Your Time podcast is for established online business owners, entrepreneurs and service-based business owners who want practical time-saving tips to help them improve how their business operates and create sustainable business growth without having to be available for everything.

I'm Shannon Baker, a Capacity Systems Strategist with more than 25 years of experience helping entrepreneurs improve how work gets done. I help women recognize where their online business depends on them more than it should, decide what actually needs their attention first, and make changes so everything doesn’t depend on them.

On the podcast we talk about what that looks like in real life:

- Clients who have too much access to you

- Team members who can do the work but still need you to tell them what happens next

- Processes that live in your head

- Decisions that keep coming back to you

- Work you've delegated but end up doing yourself

This podcast will help you answer questions like:

- How do I build an online business that runs without me?

- What actually needs my attention as an online business owner?

- Why does everything in my business still depend on me?

- When should I stop doing something myself and hand it off?

- Why isn't delegating saving me more time?

- What business systems do I need to save time?

- How do I set better boundaries with my clients?

- Why does my team still need me to answer every question?

- How do I keep my business running when I take time off?

The goal isn't to remove yourself from your business. It's to make sure everything doesn't require you. I believe your time is accessible, but not "Open Access."

So if you're ready for some time-saving tips and strategies so you have more time to lead your business, grab your coffee and join me for a conversation.

  • Business Tune-up Series: How to Change the Way Your Online Business Runs Without Starting Over
    Oct 29 2026

When something in your online business isn't working the way you want it to, it's tempting to start looking for a better tool or a completely new process. But what if most of your business operations are already working, and there's just one part of the process that's creating the frustration?

In this final episode of The Business Tune-Up Series, we're talking about:

    • Why your current business operations may no longer support the business you're running today
    • How to recognize when the real problem is your process rather than the software you're using
    • What happens when unclear responsibilities and missing information keep work coming back to you
    • Why changing client expectations requires more than simply setting new boundaries
    • How to make one intentional adjustment to your business processes and determine whether it's actually helping

    Episode Timeline

01:37 — Why frustration with your business operations doesn't automatically mean you need new software.

05:02 — How your business can outgrow the availability, client expectations, and processes you originally established.

09:18 — When work keeps getting stuck, the problem may not be your project management software.

16:18 — How one missing step in client onboarding can make you think the entire process needs to change.

21:18 — Why making one intentional change at a time helps you figure out what's actually working.

  • Business Tune-up Series: How to Make Time for the Work Only You Can Do in Your Online Business
    Oct 22 2026

You've got ideas for your business, projects you want to finish, and decisions that need your attention. But somehow, the work that only you can do keeps getting pushed to another day.

Imagine having time set aside for those priorities and actually being able to use it the way you planned without having to rearrange your schedule to accommodate everything else.

That's what we're talking about today in episode two of The Business Tune-Up Series.

Making time for something and protecting that time are two different things. You can have a full calendar, get plenty of work done, and still make very little progress on the priorities that require your experience and expertise.

In this episode, we're talking about:

    • Why having open hours on your calendar doesn't necessarily mean you have the capacity to take on more work
    • How calendar drift happens when small scheduling exceptions gradually redirect your time toward everyone else's priorities
    • Why your office hours and working hours aren't the same thing, and how your scheduling availability may be keeping you from getting important work done
    • What happens when you treat commitments to your own business as easier to move than appointments with clients

    • How to make realistic changes to your schedule so the time you reserve for important work is actually available when you need it

  • Business Tune-up Series: You Have Help, So Why Are You Still Managing Everything?
    Oct 15 2026

You hired help but somehow, you're still the one checking on deadlines, answering questions, and making sure the work gets done. And when you finally sit down to focus on something that needs your attention, there's usually something else you have to follow up on first.

Having help should create more breathing room in your business, not give you more people to manage. That's why we're kicking off the Business Tune-Up Series and taking a closer look at:

    • Why delegating tasks doesn't always mean you've handed over responsibility for getting the work done
    • How unclear expectations, missing processes, and repeated questions can keep you managing work you've already delegated
    • What clarity, boundaries, and structure have to do with making delegation work without everything coming back to you

    Episode Timeline

02:36 - What happens when delegated work still depends on you

04:48 - The difference between delegating a task vs. delegating responsibility

08:19 - Is the problem the person or the process?

10:16 - Why the problem isn't always the person you've hired, and what to examine before changing the process.

14:02 - What happens to the work you've delegated when the person responsible is no longer available?

18:11– How clarity, boundaries, and structure work together so people can handle their responsibilities without checking with you at every step

22:28 – Why hiring another person or adding another productivity tool may only give you more work to manage
